Direct Flight Software Logs Supported: You can upload CSV flight logs exported directly from popular flight management platforms (such as Garmin Flight, ForeFlight, or FltPlan.com) as well as custom internal spreadsheets. The import engine automatically detects and maps typical column headers (e.g., mapping 'Reg' or 'Tail' to Aircraft, 'From'/'To' to airports) and will auto-calculate statute miles between airport codes if the distance column is missing or empty.
* To upload flight and passenger data, create a csv file using the template that is linked to above. Make sure that the header matches the header in the file. Most of the columns are self explanatory. For a sample of a completed flight template, see sample flight template. For a sample of a complete passenger template, see sample passenger template.
In the case of flights, for the Repo column, insert "prior", "post" or "intermediate" if the Repositioning flight precedes, is after or between occupied passenger flights; otherwise leave blank (a repositioning flight is a flight with no passengers that is not a maintenance or training flight). For Date, please enter in Year-Month-Day (for example, 2023-11-03) format. If you are using Excel and the date field is being reset to a different format, select 'Text' as the field type or change the date format to YYYY-MM-DD. For the Maintenance column, insert "true" or "false" depending on whether it is or is not a flight to or from maintenance. AdditionalMiles, AdditionalFlightHours and AdditionalBlockHours only need to be inserted if and to the extent there is are extra miles and hours beyond actual flight miles and hours caused by the entertainment leg in a multi-segment business and entertainment trip. Please see the applicable Treasury Regulation § 1.274-10(e)(2)(iii) for more details and directions. The IncrementalCosts column is for SEC Registrants only that need to capture the incremental costs of flights for named executive officers.
In the case of passengers, you will need to get the FlightId after you have entered or uploaded your flight information. Just select View Recorded Flights from the main menu to get each of the FlightIds. Because you need FlightIds in order to upload passenger data, you need to upload your flights first.
